The vehicle inspection
A driver opens Compliance and fills in the Vehicle inspection report:
- Pick the unit and Pre-trip or Post-trip, and type the odometer or hour meter.
- Answer each checklist item OK, Defect or "Not on this unit". Mark all OK does it in one tap.
- Describe any defect. It is required when a defect is marked or the unit is unsafe.
- Choose Safe to operate or Not safe to operate.
- Sign and file the report. It can't be changed afterwards.
The checklist follows the federal inspection items (49 CFR 396.11): service brakes, parking brake, steering, lights and reflectors, tires, horn, windshield wipers, mirrors, coupling devices, wheels and rims, and emergency equipment.
Defects and repairs
Any defect, or "not safe", puts the unit under Needs the shop on the office board. The office signs off with what the shop found (repairs were made, or no repair was needed) and a note. Mark as reviewed records the office's review. Neither can be undone.
The next driver's repairs check
When a unit's last inspection found a defect, the next driver sees it and must tick Repairs checked before their report goes in (49 CFR 396.13). The database refuses the report otherwise.
Drivers see only their own reports. The words of a defect note reach only the driver who wrote it and the people who manage compliance.
Driver files
+ Add document keeps each driver's papers: the document, its number (never a Social Security number), when it was issued and when it expires, a note and a scan (PDF, PNG or JPG, up to 10 MB).
| Document | Renewal filled in |
|---|---|
| Driver's license (CDL) | The date printed on it |
| Medical examiner's certificate | 24 months |
| Motor vehicle record (MVR) | 12 months |
| Road test certificate | Done once |
| Annual review of driving record | 12 months |
| Drug and alcohol testing enrollment | 12 months |
A document shows OK, Expiring (within 30 days), Expired, Missing or On file. At 30 days and at 7 days before it expires, and once it has expired, the dispatcher and the driver each get a task. Renewing the document ends the reminders. Document numbers never appear in tasks or alerts.
A driver can read their own file but not change it: renewals go through the office.
The office board and the audit export
The board shows open defects, CDL units with no pre-trip today, today's inspections and documents to fix. Export for an audit downloads the inspections and the driver files for a date range (the last 90 days to start) as spreadsheets.
Filing inspections needs "File vehicle inspections and see your own driver file" (the Foreman and Crew member in a new company). The office side needs "Manage driver compliance and driver files" (VP Operations and the Dispatcher).
These records help you prepare for a DOT audit; they don't guarantee passing one. A transportation attorney should confirm the checklist before you rely on it.
