Job money and margin

Every job's income and cost lines, its margin, and the Closed step that says the money is done.

The Job money page

Job money lists your jobs with the contract (the estimate the job was sold on), the income, the cost and the margin. Four counts on top: Ready to close, Complete but missing lines, Closed this year, and the margin on jobs closed this year.

Filter by All jobs, Complete not closed yet, Ready to close, Missing lines, Closed or Open jobs, and search by job number or customer.

The margin is the income minus the cost. The margin percentage is the margin divided by the income. A job with no income yet says so.

Add income and costs

+ Add transaction, or + Income and + Cost on a job, asks for the kind, a category, the amount, the date and a memo.

  • Income categories to pick from: Contract, Change order, Deposit, Retainage and Other income.
  • Cost categories: Materials, Labor, Subcontractor, Equipment, Trucking, Permits and fees and Other cost.
  • You can type your own category too.

Each line says where it came from: entered by hand, a QuickBooks CSV, or QuickBooks. An approved crew expense adds its own cost line. See Crew expenses.

Close a job

Closed is the last step, after Complete. Complete means the work is done; Closed means the money is done too. The database allows it only when:

  • the job is Complete,
  • it has at least one income line and one cost line, and
  • the person holds "Enter job transactions and close jobs".

Press Close job on a Complete job and confirm. A closed job is final: its status and its lines can't change any more.

Who sees it

In a new company, VP Operations, the VP Sales, the Controller and the Office manager can see job money. The Controller enters lines and closes jobs. The CEO can do everything. Everyone else doesn't see this page.

Lines can also come in from QuickBooks. See QuickBooks import.
