Sub jobs and subcontractors

Hand a job to a subcontractor, keep the margin in view, and close the loop when the sub is paid.

Subcontract a job

On Sub jobs, press + Subcontract a job:

  • The job: any open job without a sub job already.
  • The subcontractor: an active subcontractor from Vendors and subcontractors.
  • The sub's price, and the customer price (filled in from the estimate total when there is one).
  • Notes. Then Offer the job.

The margin is the customer price minus the sub's price, shown in green or red with its percentage.

The stages

Offered, Sub accepted, In progress, Complete and Sub paid, one step at a time with Move to.

  • "The sub declined (back to Offered)" works from Sub accepted.
  • Cancel the sub job works while it is Offered or Sub accepted. Once the work has started, the sub job is canceled only with its job.
  • The subcontractor can only be changed while the job is Offered.
  • Sub paid and Canceled are final.

Insurance

Each sub shows COI OK, COI expiring, COI expired or No COI. A banner warns when a sub's certificate of insurance is expired or missing: get it before the sub starts.

The sub's bill

Under The sub's bill, link one of the sub's bills or add it (amount, due date, reference). Sub paid needs the subcontractor's own bill, linked and paid on Bills and payroll.

  • One bill belongs to one live sub job.
  • A linked bill's vendor can't change.
  • The paid bill behind a Sub paid job can't be reopened.

In a new company, VP Operations, the Controller and the Office manager manage sub jobs; the VP Sales sees them. Crews don't.
