The time limit clocks
Each open lead has a clock for its current stage (people often call it the SLA). It counts business hours only: Monday to Friday, 8 AM to 5 PM unless you change your hours. Holidays are not counted as closed. The clock turns orange at three quarters of the limit and red when it runs out.
| Clock | Limit | When it runs out |
|---|---|---|
| New lead | 2 hours | A task for the intake person and an alert. |
| Sizing | 4 hours | A task for the intake person and an alert. |
| Estimating | 48 hours | A task for the lead's owner. |
| Escalate after | 72 hours | A task for your escalation person. |
| Proposal unsigned | 48 hours | A call task for the owner, an alert, and the lead moves to Followed up. |
| Billing form | 27 hours | A task to chase the billing and PO form. |
Each alarm fires once per stay in a stage. Change the limits on the SLA timers card of Automations, and switch each alarm on or off on its Flows card.
Proposal follow-ups
After a quote goes out, Asphalt OS follows up on its own: an email after 1 business day, and a text after 2 business days (only with texting consent). When the proposal time limit runs out, the owner gets a call task and the lead moves to Followed up.
Untouched-lead reminders
On top of the clocks, Asphalt OS notices a lead that nobody has touched. A touch is a status change, a note, a message either way, a task made or finished, or a visit booked or done, by a person. What Automation does on its own doesn't count.
- The default is 16 business hours (2 working days) in each of New lead, Sizing, Estimating, Approved and Followed up. Accepted, Lost, Canceled and On hold leads are never chased.
- The clock starts from the last touch, or from when the lead entered its stage, whichever is later.
- The reminder is a task, "Touch base: ... has had no activity for ... business hours", for the lead's owner, plus an alert and a line on the timeline.
Change the hours per stage on the Untouched reminders card of Automations: whole hours from 1 to 720.
