Set up your company
A new Asphalt OS starts empty, with no sample data. The first time it is opened it shows Set up your company: three short steps.
- Your company: the company name, the time zone (Eastern is filled in), your home state and the counties you work in (both optional), and where Tier 1 and Tier 2 start. Tier 1 starts at 50,000 sq ft and Tier 2 at 10,000 sq ft unless you change them.
- Your brands: each brand has a name, a label, a phone number (optional) and the email address it sends from. The first brand starts with your company name. You can add up to 10.
- Your account: your name, your email and a password of at least 12 characters. You become the owner, with the CEO role and full access.
Press Set up my company. You are signed in and land on the Dashboard.
Setup runs only once. Whoever finishes it first becomes the owner, so do it before you share the address with anyone.
What a new company starts with
- The ten default roles. See Roles and permissions.
- Default time limits for new leads, sizing, estimating and proposals. See Time limits and reminders.
- Business hours of Monday to Friday, 8 AM to 5 PM, in your time zone. Change them on Automations.
- Every routing choice (who gets new leads, bids, office work and operations work) pointing at you until you invite your team.
- An empty price list. Add the work you sell on Services and pricing.
- A hidden helper called Automation. It sends acknowledgments and reminders and creates tasks. It can't sign in and doesn't appear in your people lists. Its work runs in the background worker about a second after your click, and the app server itself can never act as it.
Signing in
Sign in with your email and password. If either is wrong, the message is "Wrong email or password." It never says which one, so nobody can find out whether an email has an account.
- The password is checked by the database itself. Five tries in a row without signing in lock that email for 15 minutes, and the fifth try locks even when it is right, so four guesses is all anyone gets.
- When your company requires two-factor sign-in (a new company does), you are then asked for the 6-digit code from your authenticator app. See Sign-in protections.
- Asphalt OS signs you out after a quiet spell: 30 minutes unless your company chose 15 minutes, 1 hour or 4 hours. See The Team & security page.
- Every sign-in ends after 12 hours, whatever you do.
After signing in you go back to the page you were on, if your role can open it.
Change your password
Open the account menu in the top bar (it shows your initials and name) and choose Change password. Type your current password, then the new one twice. A new password needs at least 12 characters. Changing it signs you out on your other devices and keeps you signed in on this one.
More than one company
If you belong to more than one company, sign-in opens the first one in alphabetical order. Switch company in the account menu moves you to another. Each line shows your role in that company.
