Inviting your team

Invite people by email, choose their role, and keep track of who has joined.

Send an invite

  1. Open Team & security (under Admin in the sidebar), People tab.
  2. Press Invite person.
  3. Fill in the full name, work email, job title, role and crew.
  4. Press Send invite.

You need the permission "Manage people and their exceptions". You can only invite people into roles ranked below yours. The owner can invite into any role.

An email that already belongs to someone in your company, or already has an invite waiting, is refused.

What the person receives

An email with a one-time link. The link works once and stops working after 48 hours. The letter is written by Asphalt OS itself and sent by the background worker a moment later, and the link is made only as the email leaves, so it never sits in a table where someone could read it.

The link opens a page that says which company and role they are joining. They type their name and a password (at least 12 characters), then press Create my account and sign in. Their first sign-in opens a short profile (their phones, an emergency contact and how alerts should reach them) before anything else. See A tour of the screen.

Someone who already has an Asphalt OS account, with another company, types their existing password instead and presses Join and sign in.

  • While your company's sending is captured (a new company starts that way) and the server has no mail account of its own, the email lands in the test mailbox instead of the person's inbox. Once sending is live, it goes out through your own mail service like every other email.
  • If there is no way to send it (sending is live and no mail service is set up), the invite is refused and the page says why. Nothing is kept.
  • A company can send 20 invitations in an hour and 40 in a day; the rest go out later. The owner is alerted about every invitation, and a name can't hold a line break or a web address.

Keep track of invites

The Invites card on the People tab lists every invite as Waiting, Accepted, Withdrawn or Expired. A waiting invite shows how long its link still works.

  • Withdraw cancels a waiting invite.
  • There is no resend button. To send a new link, withdraw the old invite and invite the person again. An expired invite doesn't get in the way.

Pick the right role

Start with the default role closest to the person's job. If one person needs one more permission, or one less, add an exception for them instead of making a new role. See Roles and permissions and Your own roles and exceptions.
