Import a QuickBooks export
On Job money, open the QuickBooks tab.
- In QuickBooks Online, run the report Transaction List by Date and export it as CSV.
- Upload the file, or paste its text. It needs at least a Date and an Amount column (or Debit and Credit).
- Press Preview. It changes nothing and shows the lines found, repeated rows, lines already imported, and lines that couldn't be read.
- Assign each line to a job. A job number in the row (J204, J-204 or "job 204") is picked for you; other rows start as "Leave out".
- Press Import to bring in the lines you assigned.
- Invoices, sales receipts, payments and deposits come in as income. Bills, expenses, checks and purchases come in as costs.
- Importing the same export again is safe: lines already in are skipped.
- Rows for closed jobs are left out and counted.
Importing needs "Enter job transactions and close jobs".
Live sync
Once your company's QuickBooks is connected, the QuickBooks Online connection card pulls invoices, sales receipts, bills and expenses onto the job their memo names. Until then, use the export. Connecting it asks for your password again, and its keys are read only by the background worker, never by the app server. See Connections.
